Communicate at the Speed of AI Without Losing the Person

A few months ago I helped a client rebuild a chunk of their HubSpot setup. The before picture was familiar. They had two people on staff working full-time on what their automated system was supposed to be doing. They had templates that nobody trusted, sequences that nobody understood, and a quiet conviction that the only way to send a personal email was to write it from a blank screen.

We rewired the system over a few weeks with AI in the loop. By the end, those two people were doing roughly four times the volume of personalized outreach with the same hours. The recipients did not feel they were being marketed to. The reply rates went up.

That is the promise of AI in communication. It is real and it is here. But it is also exactly where I see the most leaders quietly damaging trust in 2026, because the same tools that can multiply your reach can also turn every message you send into a withdrawal from the relationship you were trying to build.

You can send more. You cannot, by default, connect more. Treat the difference seriously and AI becomes a multiplier of trust. Ignore it and your inbox becomes the leak.

Reach is not connection

It is easier than ever to reach a thousand people in a personal-feeling way. AI can write the draft. AI can tailor each message to the recipient. AI can schedule the delivery. AI can follow up if there is no reply.

None of that is connection. Reach is one-way. Connection is two-way. Reach is a metric. Connection is a relationship.

The leaders I see falling into the trap right now are the ones who have decided, somewhere along the way, that volume of touches is the same thing as quality of relationship. They are wrong, and the people receiving the messages can feel it within the first sentence.

If you have been on the receiving end of a "personalized" outreach sequence in the last six months, you know what I mean. The first message is fine. The second is suspicious. The third is offensive, because by then you can feel that the person on the other end did not actually do any of this work. A human is reaching for you. A system is reaching at you.

The job of a leader in 2026 is to know which one of those each message you send is.

Use AI for these things

There are real, honest, healthy ways to use AI in your communication. Lean into them.

Use AI for first drafts. Tell it what you want to say, who you are saying it to, and what tone you want. Then edit it like a human - cut the lines that do not sound like you, add a sentence that only you would have written, change the close to something specific.

Use AI for research. Before a meeting, have it summarize what is publicly available about the person. Walk in informed. The other person will feel respected because you actually know who they are.

Use AI for organizing. Summarize a long thread. Pull action items out of a transcript. Draft the recap email. The recap is one of the highest-leverage communications you send all week and AI can take it from a chore to a habit.

Use AI for tone checks. Paste in a sensitive email before you send it. Ask it to flag anything that might land poorly. Ask for two more diplomatic ways to phrase a particular sentence.

Use AI for translating complex ideas. Take the technical version and ask AI to rewrite it for a non-technical audience. Then check that the simple version did not flatten anything important.

All of those are deposits. They make you faster, more thoughtful, and more present in the moment that matters.
